For your safety please turn right to enter from the direction of Caenby Corner roundabout and left when joining the A15. To comply with Fire Regulations only registered guests may use our facilities and children must be accompanied at all times. If guests invite or allow anyone not registered as a paying guest to enter our property for any reason we may charge for extra usage and or withdraw our hospitality. Please return room keys to reception when not in your room. We close at 1.00am latest at weekends and midnight Monday to Thursday.
The principal visitor is the person who makes the booking and is responsible for all members in a party booking and for bringing our terms to the attention of everyone in their party. In corporate bookings the business will be deemed the principal guest. By booking accommodation you accept our terms together with our fire precautions and evacuation instructions even if you do not sign in on arrival.
While all reasonable care is taken we offer no guarantee of security and accept no responsibility for any injury, loss or damage to any person or property whilst entering, whilst on, or whilst leaving our property which is beyond our control except in proven instances of our negligence or breach of contract. Any claim shall be limited to the amount of any payment made to us on any prior date and you agree to indemnify us against any claim by any third party caused by you, your vehicle or visitors within a party booking.
To book we require a non refundable deposit of £15 per room per night but we may elect to reduce the deposit taken to minimise credit card charges. The full balance is due on arrival by debit card or cash. We do not accept cheques and we do not to take credit cards for balance or outstanding payments, unless we can add 5% to cover banking charges. Those not providing a debit or credit card as surety may be asked for a refundable cash deposit of £200. Providing your card details authorises us to take payments and confirms acceptance of our terms. Guests not resident in England will have full payment taken at the time of booking.
Bookings are not confirmed until your requirements are acknowledged in writing. Advance bookings may be subject to price increases but will be notified not less than 3 months before your arrival date. For midweek bookings (Monday – Thursday) we require 48 hours notice of cancellation but for weekends (Friday, Saturday or Sunday) and special dates like Lincoln Show, Christmas Market, and bank holidays we require 14 days notice of cancellation, or full payment so we recommend that you insure against cancellation. If we can let your booking after cancellation no further charge is made. For advance bookings in excess of 3 months we require a full week’s notice of cancellation for each month or part thereof. To cancel any booking or part thereof please contact us to obtain a cancellation number and confirmation. We must have written confirmation by email or letter of your instructions to cancel. If we cancel your booking we will notify you as soon as possible and refund your deposit. To claim your deposit please send your booking confirmation together with your full contact details, by letter. Emails may not be actioned.
Check in is from 4pm to 10pm with breakfast served in the dining room only between 7 & 9am for departure by 10am, latest. If you arrive early for a wedding etc you are welcome to park your car and come back later to check in. If you want to contact us outside our business hours please ring 07771 740722. For the comfort of all guests we close at 1am and we may seek additional payment of £40 per hour or part thereof from those who return after 1am or depart after 10am. We operate a No Smoking policy throughout and special rates apply for some dates, so please check before booking. For your safety and security PIR lighting and CCTV is used in external areas.
We provide a very comprehensive selection of quality towels, bathrobes and hangers etc. If you would like to keep any items please do so and we will be happy to replace them at cost. If a room key is not returned we must replace the lock with a minimum charge of £75 plus any loss of revenue from the use of the room until the lock can be changed.
If you leave any small property we will post it to you and deduct £5 from your authorised card to cover our costs. If you leave anything which we feel is worth less than £5 (a used tooth brush etc) we will hold it for 1 month and await your instructions for return or disposal. If you leave any expensive or large items (jewellery or a pair of shoes etc) we will contact you for instructions. If no instructions are received we will dispose of your property without further notice.
If smoking or any other damage or loss is suffered we will claim the full cost of cleaning, repairs or replacement and loss of revenue as a result. If cancellation charges or payment for damages, loss or repairs cannot be taken from a card used when booking and are not made within 7 days from the date of notification by email and or letter we reserve the right to double the amount of our claim for the inconvenience caused in having to pursue our claim which may include a County Court or Debt Recovery Agency action with all fees and costs being added to our claim. In the event of a County Court claim being issued the Principle Guest shall not request that any hearing be transferred to their local court and that any hearing will be held in The Lincoln Courts.
Any dispute will be conducted under English Law and the principal guest accepts that any costs, expenses and interest will be added to our claim. We shall be entitled to amend our terms at our discretion, without notice, and to refuse accommodation or any other goods or services in the event of any unreasonable conduct by any guest. All correspondence is intended for the addressee only, who accepts responsibility if passed to a third party.
No other terms or conditions will be accepted unless specifically agreed in writing by the proprietors of Ermine Lodge Bed & Breakfast.
